India's Railway recruitment ecosystem

The Railway Recruitment Boards (RRBs) recruit for the entire Indian Railways — gazetted officers (railway officers), Group B officers, and the vast Group C and Group D non-gazetted positions. Each year RRB conducts:

• RRB NTPC (Non-Technical Popular Categories): Junior Clerk, Account Clerk, Junior Time Keeper, Trains Clerk, Commercial Apprentice, Goods Guard, Senior Time Keeper, Senior Clerk, Office Manager, ASM (Assistant Station Master), Section Officer, Office Manager (Marketing).
• RRB Group D / Level 1: Trackman, Helper, Pointsman, Porter, Gateman, Cabin Person, Electrical Maintainer (Helper), and other Level 1 jobs.
• RRB ALP (Assistant Loco Pilot): Locomotive driver entry-level positions.
• RRB Technical (JE/SSE): Junior Engineer and Senior Section Engineer in Mechanical, Electrical, Civil, S&T, P-Way disciplines.
• RRB Paramedical: Pharmacist, Lab Technician, Radiographer, Operation Theatre Assistant, Hospital Attendant.
• RPF (Railway Protection Force): Sub-Inspector, Constable. Recruited separately by RPF, not RRB, with similar photo specs.

21 regional RRBs (Mumbai, Chennai, Kolkata, Bangalore, Patna, Bhopal, Allahabad, Bilaspur, Bhubaneswar, Chandigarh, Ahmedabad, Ranchi, Jammu, Trivandrum, Mumbai, Mali...) handle applications for their region. Each RRB runs its own application portal under a unified rrbcdg.gov.in domain.

The good news: photo and signature specs are uniform across all 21 RRBs and across all exam categories. Same JPG, same dimensions, same KB range — for every railway exam.

RRB NTPC 2026 — official photo and signature spec

From the RRB NTPC 2026 employment notification published by the Railway Recruitment Board:

Photo

• Format: JPG / JPEG only (PNG and HEIC rejected)
• File size: 20 KB to 50 KB
• Dimensions: 3.5 × 4.5 cm physical (350 × 450 px digital)
• Color: Color photo only (B&W rejected — important difference from older railway exams)
• Background: Plain white or off-white
• Recency: Photo taken within last 3 months (RRB enforces 3 months strictly, stricter than UPSC's 6-month rule)
• Visibility: Face clearly visible, both eyes open, looking directly at camera, neutral expression
• Coverage: Approximately 70-80% of frame should be your face
• No accessories: No sunglasses, caps, hats; religious head coverings permitted with face fully visible
• Quality: Sharp, in-focus, no motion blur, no watermarks

Signature

• Format: JPG / JPEG
• File size: 5 KB to 20 KB (RRB has tighter range than UPSC's 50 KB)
• Dimensions: 140 × 60 px (350 × 150 px for higher quality)
• Color: Black ink on plain white paper
• Pen: Black ballpoint or fountain pen — never blue ink, never pencil
• Style: Your everyday signature — must match what you'll write at the test centre

RRB Group D 2026 — Level 1 positions

RRB Group D recruits for the largest pool of railway positions — Trackmen, Pointsmen, Helpers, Cabin Persons, and other Level 1 entries. Specs are identical to NTPC:

• Photo: 3.5×4.5 cm, 20-50 KB, JPG color, white background
• Signature: 140×60 px, 5-20 KB, JPG, black ink
• Photo recency: Within last 3 months
• Application portal: Uses the same rrbcdg.gov.in framework as NTPC
• Volume: Group D is the highest-applied RRB exam — 2.5+ crore applicants per cycle

RRB ALP, JE, SSE specifications

RRB ALP (Assistant Loco Pilot) and Technical entries (JE Mechanical, JE Electrical, JE Civil, JE S&T, JE P-Way, SSE) follow the same photo specs as NTPC and Group D:

• Photo: 3.5×4.5 cm, 20-50 KB, JPG color, white background
• Signature: 140×60 px, 5-20 KB, JPG, black ink
• Recency: 3 months

The difference between ALP/JE and NTPC/Group D is in the educational qualifications, exam syllabus, and salary scale — not photo specs.

Why uniform photo specs across all RRB exams?

The Indian Railways uses a single internal database for employee records. Photos uploaded for any RRB exam application get added to this database after recruitment. To maintain consistency, all RRB recruitment uses the same photo specifications — uploaded once for the application, then carried over as the official employee photo if you're selected.

Regional RRB portal differences

Although the technical specs are uniform, the 21 regional RRBs run their own portals with small operational quirks:

RRB Mumbai / RRB Chennai

• Largest applicant pools, slowest portal during peak hours
• Apply 5-7 days before deadline to avoid timeouts
• Stricter Tier-2 verification on photo quality

RRB Patna / RRB Bhopal

• High applicant volume (industrial hubs)
• Photo verification often catches off-white backgrounds — use pure white

RRB Jammu / RRB Bilaspur / RRB Chandigarh

• Smaller portals, generally faster
• Local language interface options sometimes available

Important: Choose the correct RRB during application

RRB application requires you to select your preferred RRB region (typically based on where you want to be posted, or your home state). The selection determines which RRB processes your application and where you'll have your medical examination. Photo specs don't change between RRBs, but application processing time can vary by 1-3 weeks.

Why RRB applications get rejected

Based on candidate-reported rejection patterns from RRB NTPC 2024-2025 and Group D 2023:

1. Photo too old (28%). The 3-month recency rule is strictly enforced. Photos from previous railway exam attempts (1+ year old) get flagged.
2. Background not white (22%). Coloured walls, patterned wallpaper, blurred backgrounds.
3. File size out of range (18%). Most often: photo over 50 KB (uploaded raw without compression).
4. Wrong file format (12%). PNG instead of JPG, or HEIC from iPhone.
5. Black-and-white photo (8%). RRB explicitly requires color photos.
6. Wrong dimensions (5%). Square crop instead of 3.5:4.5.
7. Signature in blue ink (4%). Black ink only.
8. Photo and signature swapped (3%). Different upload boxes.

The "photo too old" issue is unusually high for RRB compared to other Indian exams. Many candidates re-use photos from previous railway attempts; RRB's 3-month rule catches this. Always re-take a photo for each new railway exam application.

How to take an RRB-compliant photo

Phone camera approach (free, 5 minutes)

1. Find good natural light. Daytime, near a window, facing the light. Avoid direct sunlight (creates shadows) and overhead lighting (creates raccoon-eye shadows).
2. Stand against a plain white wall. Or hang a white bedsheet as a backdrop. Stand 1-1.5 m from the wall to prevent shadows behind you.
3. Have someone else take the photo. Selfies don't work — wrong angle, distortion. Get someone to hold the phone at YOUR eye level, 1-1.5 m away.
4. Look directly at camera. Eyes open, neutral expression, mouth closed.
5. Frame from chest up. Top of head should be near the top of frame with about 1 cm of space above. Shoulders visible at the bottom.
6. Take 5-10 photos. Pick the best one.
7. Verify before processing. Open the photo at 100% zoom. Check: face clearly in focus, eyes open, no harsh shadows, white background.

Studio approach (paid, 10 minutes)

If you prefer a studio: tell them specifically "3.5×4.5 cm passport photo for RRB Railway exam, white background, 30-40 KB JPG file." Studio cost: ₹50-150 per set.

Step-by-step: compress for RRB

Your phone or studio photo is 2-5 MB. The RRB portal wants 20-50 KB. Workflow:

One photo for all railway exams

If you're a railway aspirant, you may apply for multiple RRB exams simultaneously:

• Q3 2026: RRB NTPC Phase 1 expected
• Q4 2026: RRB Group D notification expected

• Periodic: RPF Constable, RPF SI separate notifications

Caveat: The 3-month recency rule means a photo from January is borderline by April, problematic by June. If your appearance has changed (significant weight gain/loss, new beard, new haircut), retake. The photo on your eventual railway employee ID card will be from the application — it should look like you.

Signature-specific tips for RRB

• Sign on plain white A4 paper. Lined or coloured paper causes background issues even after scanning.
• Use black ink only. Black ballpoint, gel pen, or fountain pen. Blue ink causes verification problems at the test centre.
• Sign at normal size. If your usual signature is large, it'll look stretched when scaled. Sign at about 4-5 cm wide for clean output.
• Photograph or scan, don't draw on phone. Phone-drawn signatures look visibly different from pen-on-paper signatures.
• Crop tightly. Just the signature, no excess paper.
• Match what you'll use at the test centre. RRB uses computer-based testing (CBT) — your signature is captured digitally at the centre and compared to your uploaded signature. Match.
• Don't sign on lined paper. Lines often show through scan and cause artifacts.

Common mistakes that cause RRB rejection

• Photo from previous railway exam attempt. The 3-month recency rule is strict. Always re-take for each new RRB application.
• Black-and-white photo. Some old studio prints are sepia or B&W. RRB explicitly requires color.
• Photo over 50 KB. Common when uploading raw phone photos. Use a tool that hits the 20-50 KB range.
• Patterned background. Bedsheets, posters, doors, switches — all rejected. Use AI background removal (ShrinkTo's BG remover) to fix existing photos.
• File format wrong. JPG only. PNG, HEIC, BMP all rejected.

• Wrong RRB region selected. If you select RRB Mumbai but live in Tamil Nadu, processing takes longer and posting may be inconvenient.
• SC/ST/OBC certificate expired. Caste certificates have validity periods — check before applying.
• Forgetting to upload all required documents. Photo + signature + caste cert + qualification cert + age proof — each is a separate step.

RRB application tips

• Apply early. The RRB portal goes slow during peak hours of last 48 hours. Apply 5-7 days before deadline.
• Save all reference numbers. Each RRB application gets a 12-15 digit registration number. Save in cloud storage. You'll need it for admit card download, results, and posting verification.
• Track each RRB notification individually. NTPC, Group D, ALP, JE — each has its own notification calendar and deadlines. Maintain a spreadsheet.
• Browser compatibility: Chrome works best. Edge works. Safari has issues with RRB portal.
• Use a stable network during peak. Indian mobile/broadband networks struggle during last-minute RRB rush. Apply from a stable connection.
• Check eligibility carefully. RRB age limits are strict. You can't apply if you're below the minimum age or above the maximum (with relaxations).
• Pay attention to fee structure. RRB charges different fees for general/SC/ST/OBC. Refunded after attendance for some exams (like NTPC) — keep documentation.
• Two-factor SMS authentication. RRB sends OTP for final submission. Indian mobile networks occasionally drop SMS during peak hours. Apply 3-4 days before deadline.
